Participates fully in the intake of permission requests and copyright forms submitted to the Section of Scientific Publications from external requestors and physicians and scientists at all 3 Mayo Clinic sites to ensure timely processing of requests, including corresponding with the appropriate journal, publisher, and authors. Works closely with physicians, scientists, and others, within the Section, as well as outside the Section, to ensure timely request processing. Makes independent decisions regarding deadlines, additional review, and request processing. Generates reports related to permissions & copyright workload. Provides administrative support (including assistance with trip planning and Concur reimbursement, calendar management, and meeting scheduling) to the physician who is chair and director of Mayo Clinic Scientific Press, head of section, manager-Scientific Publications, administrative office manager, and editors at all 3 Mayo Clinic sites. Reviews monthly financial report with Head of Section to verify expenses. Gathers data and creates reports for projects that are generally of a critical and confidential nature. This limited-tenure position will focus on copyright and permissions work over administrative support. On-the-job training will be provided; judgment and decision-making are key.
Qualifications
A high school degree is required. A minimum of 5 years’ experience working in a permissions or copyright office or comparable experience and administrative assistant experience is required. Understanding US copyright law and Mayo Clinic’s copyright policy and be able to apply their principles to copyright and permission requests and be able to explain the principles to Mayo staff members is preferred.
Additional qualifications
Must have demonstrated proficiency in Microsoft Word, PowerPoint, and Excel. Requires strong general office and organizational skills; must be able to handle a variety of tasks simultaneously with efficiency in a fast-paced, deadline-driven environment. Must have strong interpersonal skills and the ability to communicate effectively with staff at all levels, especially physician and scientist clients. Requires excellent decision-making and judgment capabilities and the ability to work independently. Knowledge of medical terminology helpful.

Compensation Detail
Education, experience and tenure may be considered along with internal equity when job offers are extended. The minimum pay rate is $19.02 per hour.
